Assistant Manager, Operations Support

We are seeking an Assistant Manager, Operations Support and Adminstration to join the Group Operations team based in Hong Kong. This role provides comprehensive administrative support to the Senior Vice President, Operations and act as main departmental coordinator for Head Office Operations Team. The position plays a key departmental support role in ensuring smooth day-to-day operations through effective calendar and travel management, reporting coordination, departmental administration, team engagement arrangement, and internal communications.

Key Accountabilities

  • Manage executive calendars and meeting coordination for the SVP, Operations, including scheduling, logistics, room bookings, meeting materials and follow-up actions.
  • Coordinate business travel arrangements for the SVP, Operations, Vice Presidents and the department’ sub-functional leaders, including flights, accommodation, transportation, visas and travel documentation.
  • Administer expense management processes, ensuring timely submission, approval tracking and compliance with company policies.
  • Maintain annual leave calendars for the department to support workforce planning, team coverage and business continuity.
  • Provide departmental administration and team support, maintaining records, trackers, filing systems and facilitating coordination with Finance, HR, IT, Procurement and other corporate functions.
  • Coordinate compliance training activities for the department, including completion tracking, follow-up communications and record maintenance.
  • Support team engagement and people initiatives, including onboarding logistic, team events
  • Serve as the CRS Champion for the department, coordinating sustainability-related communications, reporting requirements, progress tracking and data submissions.
  • Support SVP on budgeting, forecasting and reporting processes, including information consolidation, submission tracking, invoice processing, payment requests and procurement administration.
  • Prepare and coordinate presentations, reports and internal communications, ensuring high standards of formatting, proofreading, version control and timely distribution to stakeholders.

 

 

General requirements

  •  Experience in executive administration and departmental coordination is essential.
  • Highly organised and multi-tasking skills.
  • Strong accuracy and attention to detail.
  • Discreet, reliable, service-oriented and proactive.

  • Strong command of written and spoken English
  • Proficient in Outlook, Teams, Excel, PowerPoint, Concur expense management, Birchstreet PO management, and related systems.
