Sponsorship Service Coordinator

Working alongside the amazing team at The Quail Lodge & Golf Club, we are seeking a Sponsorship Service Coordinator to support our Peninsula Signature Events Department.

Key Accountabilities:

• Provide direct administrative assistance to Sponsorship Manager while acting as a primary liaison with internal and external partners to ensure all sponsor assets are delivered as contracted
• Support external communication calendar, created by Sponsorship Manager
• Lead collecting, tracking and submitting sponsor build permitting and COIs
• Maintain tracking and invoicing of sponsor related operational expenses such as Heavy Equipment, Electrical and Wi-Fi
• Assist with accounts payable and receivable related to sponsors
• Develop a thorough understanding of available assets and existing contracts
• Create, maintain, and distribute documents for sponsor load in and load out logistics
• Manage fulfillment including sponsor ticket, parking (both physical mailings and digital distribution) and marketing assets such as logo usage
• Act as main point of contact for assigned associates onsite (clients, external partners and others)

General Requirements

• Bachelor's Degree preferred or its equivalent combination of education, training, and experience
• Minimum 2 years of high-level event experience
• Must be able to work early morning, day, weekend and holiday shifts as needed
• Ability to work in fast-paced environment
• Must have possess a high level of confidentiality

Salary: $23.00 - $25.00 per hour DOE
