Coordinator, Group Security and Operational Risk

The Hongkong and Shanghai Hotels (owner and operator of The Peninsula Hotels, The Repulse Bay and many high-profile assets globally) is seeking to hire an Administrative Coordinator to join the Group Security and Operational Risk Department, based in our Corporate office located in Central, Hong Kong. This role will provide administrative support as required by the Department.

Key Accountabilities

• Assist in department’s travel arrangement, meeting appointments, and maintain accurate and up-to-date records of all programs and reports
• Prepare presentation decks, memorandums, announcements and other documents as required by the department
• Collaborate with other Head Office departments or Operations to ensure departmental information is communicated effectively and efficiently
• Assists in the preparation and submission of annual budgets and ensures accurate tracking of the department budget
• Coordinates with the Finance team for purchase order and arranging monthly payments
• Monitor and maintain office supplies and inventory levels to ensure that the department has all necessary resources to perform its functions
• Coordinate with the IT department to maintain office equipment or resolve technical issues as well as proactively updates department information in company intranet
• Serves as an ambassador for our department, proactively organizing and participating in company events

General requirements

• Associate degree / diploma in hospitality management, business administration or related discipline
• Minimum 3 years of relevant working experience, preferably in hotel operations or corporate office environment
• Strong communication, interpersonal and problem-solving skills, able to effectively collaborate with internal and external stakeholders
• Team player, proactive, responsible and detail-minded
• Excellent command of written and spoken English and Chinese
• Proficient in Microsoft Office tools (including Microsoft Word, Excel especially pivot functions, PowerPoint, Outlook)
• Openness to acquiring knowledge about new technologies, including tools, software, and AI, that can enhance efficiency and effectiveness in security and operational risk management
